Update on NEW Version of Jayhawk Utility Billing System

      The new JUBS system (code named Beef Jerky) has been given its official name, JUS – Jayhawk Utility Suite.  We chose to name it “suite” because it will have capabilities to handle more than just Utility Billing.  One exciting feature that we will introduce with it will be an Annual Lease & Support Purchase Plan based on the number of customers you bill.  Listed below are some features we are planning to add or improve:

Fund Accounting Software

Jayhawk Software is excited to announce a total solution for our customers.  We have finalized arrangements with DataTeam to provide Fund Accounting Software to integrate with Jayhawk Utility Suite.  What does this mean?  A complete software package that does all your Utility Billing, Accounting and even Payroll integrated into a single solution for you.  No more entering the numbers into your accounting program.  With the DataTeam accounting program you will be able to click a button and have the numbers go in automatically to the correct GL accounts.  DataTeam’s software also has Accounts Payable, Purchase Orders, and General Ledger and creates Financial Reports, Budget Reports, and more. Software Support Changes

     Changes are coming from the support desk for our Series 300/3000 and version 5.x customers.  To try and make the cost more reasonable for large and small customers, Jayhawk Software is implementing a population based support fee.  Changing the support policy will keep the cost down for small cities and districts and be a slight increase for larger ones, who necessitate more support time.  Starting January 1, 2003 support renewals will be based on the number of customers billed by your district.  Any SSAs allowed to expire will result in a $100.00 reactivation fee in addition to the annual agreement fee.

Contacting technical support refers to any contact that you may have, via telephone calls, mail, e-mail, faxed documents, or other methods not referenced in this letter.  There will not be any changes to the rates for customers without an SSA or for general computer support not covered by the JUBS SSA. As in the past, there will be a per hour charge for technical support if you need assistance not covered by a Software Support Agreement.  Support not covered by the SSA may include, but is not limited to, helping setup a printer in Windows, networking computers (the SSA does cover helping you get your JUBS network module installed and working, if you already have the computers networked), and helping back-up or restore data to your computer using a drive or software not purchased from us.  If you have any questions regarding our support, just ask when you call or look at the support information on our website at www.jayhawksoftware.com/support.

Before You Upgrade

If you are planning to upgrade your Computer, Printer or Windows, it might affect how your Utility Billing System will work.  We recommend you consider the following and call us if you have any questions:

  1. What version of JUBS am I using and will it work with the new Windows version I am upgrading to?

  2. What other older DOS-based applications am I running and are they compatible with the Windows version I am upgrading to?

  3. Does my new version of Windows support my printer?

  4. Does my new version of Windows support my Meter Reading Handheld device?

  5. Is JUBS compatible with my new printer?

Notice to Version 5.x & Win 95 Users

     What is in the future for JUBS version 5.x and older?  Jayhawk Software plans to have 2 versions in the last quarter of 2003 that will still have additional options available for purchase to expand or change the system.  What does this mean for customers who are on older versions?  If you are on an older version (anything older than Series 3X released in 1999), you need to consider upgrading.  This doesn’t mean you can’t keep running the version you are on.  We will continue to answer support related to how the software works, but we will no longer make modifications to the older versions.  That means we will continue to help keep your version running.   No additional customizations will be available for the older versions.  An example would be if you were considering upgrading to an AMR (Automated Meter Reading) system. You would need to have a Series 3X or the Utility Suite version to be able to add-on the option so your JUBS will work with the AMR system.

            As we announced last year, there are no longer programming changes or add-on modules available for JUBS Win 95 versions (AKA ver. 2.x), which went into affective January 2002.  These decisions have been made to help expedite the development of our new version and encourage an upgrade to a newer version to help prevent problems that you may run into as you replace computer equipment (see previous article).  A letter and additional information was mailed to our JUBS Win 95 customers in April to remind you in advance to help alleviate last minute problems.  Users may also continue to use this version if the system continues to work as is and we will continue to answer “how to use it” support questions.  Customers may also need to upgrade to our newer version to prevent problems if you purchase a new PC or operating system (see our September 2001 Newsletter).

Printers & Bill Cards

            Prices are dropping on the Lexmark laser printers, so now is a good time to switch to laser bill cards if you’d like better looking bills that print faster and quieter.  Because JUBS bill cards are especially designed to print with the Lexmark Optra S or T laser printer series, these are the only printers we support for bill card printing.  We selected this Lexmark series since they handle the cardstock paper (without voiding the printer warranty) and print margin (the farthest outside margins a printer can handle).  The new Lexmark models available are the T520 or T522.  We appreciate the many customers who have called us inquiring about other laser printers, and we are testing a new bill card format to work with HP lasers.  The reason for testing is that print margins vary from printer to printer as well as the weight of paper (card stock) a printer can handle.  Another option that will work with most printers is full-page paper statements. To get more information on the full-page statement add-on and to avoid incurring unexpected costs, please call us before switching bill cards or purchasing your next printer.

AMR or Handhelds

            Please contact us if you are interested in AMR (Automated Meter Reading) or Handheld equipment.  We offer the interface for JUBS for several vendors’ AMR equipment.  We also sell and support the DAP keypad handhelds.  Purchasing AMR devices can greatly decrease the time it takes to read meters and input readings and the potential for errors in the readings.  If you’d like more information, please call us or visit the website, under Products then Handhelds.

Quick Tip – Using EZ Meter Manager for Meter Changeouts

If included in your version, JUBS EZ Meter Manager will update the readings in the Customer screen and calculate the usage and bill correctly at the next billing day.  To enter the meter change out information, follow these steps.

  1. Under the Utility menu choose EZ Meter then choose Manager

  2. Click the [Search] button to select the customer (by account # or premise or click [Advanced] for other options) then the customer’s Premise#, Account#, Service Address and Name will display

  3. Select the Meter Type from the drop-down list, then the Change Out Info section will appear

  4. Enter your meter information in the fields as described:

    Old Meter – the Meter # from the old meter (ID or Serial # or can be blank if none)

    Final Reading – the final reading from the old meter when it was removed

    Replace Date – the date the old meter was removed

    New Meter – the Meter # of the new meter (ID or Serial # or can be blank if none)

    Start Reading – the reading on the new meter (may be 0 if a brand new meter)

    Install Date – the date the new meter is installed (may or may not be the same as the Replace Date)

  5. Click the [Add] button to update the information (or [Cancel] if you do not want to save it)

  6. Click [Close] to exit (or repeat steps 2 – 5 if changing out additional customers’ meters)

To keep a record of the meters changed, you should also periodically print the Meter Replacement Log. This can be viewed or printed by going to the Utility menu, choose EZ Meter then choose Log.
